For organizers

Check-in and QR scanning

Check-in is the one module that turns an attendee into a verified attendee. It is what makes ratings and feedback mean something.

Use the attendees module on the event. It is the check-in module.

The attendees module is your check-in. You choose how attendance is confirmed, and every verified scan becomes the basis for ratings and feedback later.

Step 1: Choose how attendance is confirmed

  1. Open the event and go to the attendees module.
  2. Choose QR code or OTP code.
  3. Set the attendance window, for example 30 minutes or 60 minutes.
  4. Decide whether to require login to mark attendance.

QR code

The attendee’s ticket carries a QR code. You scan it and the attendance is recorded.

This works because the QR code comes from a ticket that was genuinely bought, so scanning it verifies both the ticket and the person.

OTP code

When a scan will not work, the attendee gives you a code and you mark them in from that.

Choose OTP when the lighting, the network, or the crowd makes scanning unreliable, such as at a night event outside or an entrance with no signal.

The attendance window

The window is how long attendance stays open for the event. Thirty or sixty minutes are common settings.

It keeps attendance tied to your event, rather than leaving the door open indefinitely.

Requiring login

If you require login to mark attendance, whoever is marking the attendance has to be signed in. This is worth turning on whenever you have more than one person on the door.

What attendees see

  • Their own ticket, with a QR code, when they bought a ticket.
  • The count of people coming.
  • Nothing about who else is attending. Attendees never see each other’s names or photos, only the number.
  • No way to mark themselves in. Attendance is recorded by the organizer.

How check-in connects to ratings and feedback

This is the part that matters most:

  1. An attendee’s ticket is scanned at the door.
  2. That scan verifies them for the event.
  3. Only verified attendees can leave a rating.
  4. Only verified attendees can leave feedback.

So a quiet check-in desk is a quiet ratings problem. If you are not scanning, you are not collecting verified ratings, and you are not collecting verified feedback.

Tips

  • Scan every ticket, including at the door of a free event. Verification is what makes ratings possible.
  • Have a second device ready. OTP exists for the moment the first one stops working.
  • Require login if more than one person is marking attendance.
  • Do not publish attendance lists. Attendees see a count, and it should stay that way.
  • Check-in is attendance, not selling. Anything sold at the door should still be a ticket with a QR code.
